Faculty & Staff FAQs

Q. How can my department qualify for Bulk Rate/Non-Profit Mailing Discounts?

A. Any NSU department is eligible for these discounts, if the mailing exceeds 200 identical envelopes, cards, or qualifying materials. The address list must be sent and processed through Drop Zone's mail sorting Software to qualify. We also host "Learn & Save" classes twice yearly for departments wanting to save on postage expenses. For more information contact the mail services manager at Ex: 2612

Q. I am receiving Address Correction Notices from recent mailings. Why?

A. Some NSU envelopes are printed with "Address Correction Requested" under the return address of the department. This service is provided for a fee by the USPC, but allows for outdated addresses to be corrected and updated in departmental databases. Please take advantage of this opportunity to correct records. Mail sent by regular First class rates is automatically forwarded to the recipient, at no additional charge, but the address changes are not provided. Mail sent by discounted 'bulk rate' is not forwarded and is not returned to sender, unless it contains an ancillary notation of "Address Correction Requested". This notation also allows for further addressing updates, but does incur a cost by the USPS.

Q. When does the On-Campus Delivery System stop at my Building?

A. The Campus Mail Delivery System delivers incoming and Intra-Campus mail once a day to all departments. See Mail Delivery & Times.

The Campus Mail Delivery System is your PRIMARY delivery system. Please use the Campus Delivery System for your needs as much as possible. All mail is treated as confidential.

Q. How do I submit my mail for pick-up on the On-Campus Delivery System?

A. Each office or department within the university has at least two nylon mail bags. Outgoing mail should be placed inside the bag (or with the bag if item is too large), and left in the designated mail delivery area. This outgoing bag will be retrieved when the incoming mail bag is delivered. Mail to be metered by the Drop Zone should have the department's name listed in the return address portion of the envelope, if not in a pre-printed departmental envelope already. International pieces should be bundled separately, as these require additional postage. Mail destined for other departments can be put in an inter-office envelope and placed inside the nylon mail bag for campus delivery the following day. Please check for complete names, titles (if applicable), and/or office or department designations on all outgoing mail.

Q. Can I receive personal mail at my NSU Department Address?

A. No, your NSU Department address should never be given as your permanent address. Northeastern State University requires that all faculty and staff receive their personal mail at home or other off-campus permanent address. Personal Mail is defined as any mail not related to NSU or your position at NSU such as:

  • Utility bills
  • Drivers licenses
  • Credit Card and Bank Accounts not related to NSU
  • Credit Union Accounts not related to NSU
  • Periodicals not related to your position

Q. I am leaving my position at NSU and need my mail to be forwarded, who can I contact for help?

A. Mail addressed to your department is considered property of Northeastern State University. The Drop Zone does not forward mail for staff or faculty. Forwarding of mail is at the discretion of the department manager or dean. Please contact the appropriate person in your department.

Q. I am changing departments at NSU. How can I change my address for NSU mailings?

A. Complete a Personnel Action Form (PAF) form to report departmental transfers.

To stop individual advertisements or to stop advertisements to a person no longer employed by your department, you can contact:

Mail Preference Sevice
Direct Marketing Association
PO BOX 9008
Farmingdale, NY 11735-9008

Request that their members remove your name from their mailing lists. Because not all mailers are members of this organization, your request may not stop all of your advertising mail; however, it will stop some. Please be aware that this is a “blanket” removal. You do not have control over which mail items will be stopped and which will not.
