Executive Council Meeting Notes August 27, 2013

Cabinet was called to order by President Turner at 9:00 am.
Members present: Dr. Steve Turner, Dr. Pam Fly, Mr. Tim Foutch, Dr. Laura Boren, Mr. Ben Hardcastle, Mr. David Koehn, Mr. Tony Duckworth, Mr. Danny Johnson (attended for Peggy Glenn), Dr. Ron Cambiano, Dr. Cheryl Van Den Handel, Mr. Jon Asbill, and Mr. Thomas Teague.

Members not present: Ms. Peggy Glenn

President Turner welcomed each member and announced that Dr. Pam Fly will serve as Acting Vice President for Academic Affairs with Dr. Tom Jackson assisting.

Capital Project Update

Mr. Tim Foutch reported that all projects are progressing as planned. See below for a detailed list of activities.

Multi Purpose Event Center

  • Video boards are hung in place above arena floor
  • Rejected interior metal panel being corrected by installing a vertical tee joint
  • Plumbing fixtures being installed
  • Grand stair case for install week of 09/03/13
  • All Community building steel is complete, metal studs underway
  • Telescopic seating install scheduled for week of 09/09/13
  • Glass installation 95% complete
  • Wood floor install complete, sanding and final finishing will begin 09/03/13

Fitness Center Renovation

  • Final building design established
  • Civil package bids being developed
  • NOPFA gas line install complete

Low Vision Clinic

  • New wall layout in progress
  • MEP penetrations underway
  • Working with faculty/staff to determine best available times to continue saw cutting

Green and White Room renovation

  • Painters are staining millwork week of 08/26/13
  • Plumbing fixtures scheduled for install week of 08/26/13
  • Ribbon cutting planned for first home game 9/14/13

Occupational Therapy Build Out

  • Pre bid meeting scheduled for 08/27/13
  • Bids scheduled for opening 09/03/13

Library Shell Renovation

  • Roof tear off/replacement continuing
  • Working with departments regarding relocation of equipment and furnishings
  • Carpet installation in progress on 2nd and 3rd floors
  • Vinyl plank install scheduled to begin 08/28/13

Special Services Remodel

  • Roof replacement complete
  • HVAC equipment install ongoing
  • General interior remodel underway, paint scheduled for completion week of 08/26/13

Summer Bathroom Remodels

  • Administration bathroom demolition underway
  • Bid packages for Haskell Hall closed 08/20/13, negotiations will low bidder ongoing

Willis Parking Lot

  • Engineering services under review
  • Bid documents being developed

E-Tickets

Mr. Tony Duckworth reviewed the new E-ticket system with the group. The final training has been completed and the site will launch next week. Communications and Marketing will notify campus with detailed information and instructions. Mr. Danny Johnson will notify the Alumni community.

Green & White Room Renovation

Mr. Danny Johnson reported funding raised for support of renovation project was $80,000 with almost $40,000 raised for furnishings. Ribbon cutting is being planned for the first home game on September 14, 2013.

2013 Distinguished Alumni Honorees

Mr. Danny Johnson notified the group of the selected for the 2013 Distinguished Alumni awards. Ms. Dianne Barker Harrold as the Distinguished Alumna, Mr. Jimmy Houston as the Distinguished Alumnus , Dr. Michael Bolding as the Outstanding Young Alumnus, and Senator Glen Coffee was selected for the Presidents Award for Community Service. This outstanding group will be honored at events during Homecoming and the Emerald Ball.

N-Link

Mr. Danny Johnson reported that Alumni and Student Career Services are working together on a collaborative effort called N-Link. This program will provide a wealth of information and can be utilized as a networking tool for students to communicate with Alumni. President Turner added that this program will be a good network for mentoring and career placement efforts which is critical to D23.

Regional Collaboration

Dr. Ron Cambiano updated the group on efforts between NORA, Cherokee Nation, and NSU as lead institutions regarding Regionalism. He also informed the group that NORA will be honored nationally for their efforts in Rural Oklahoma. The 2013 Regional Summit will be held at NSU on the Tahlequah campus again this year. This years program will be held on October 8, 2013. He expressed appreciation for the TOSS program that brought 16 schools from STEM institutions together to connect with 100 teachers regarding common core. The program was very successful.

Enrollment Update

Dr. Laura Boren updated the group on enrollment numbers. Credit Hours are down 3,000 or 1.6 percent. Staff and Colleges will continue to encourage enrollment in eight week courses that are still open. The group discussed the new policy of no enrollment without transfer transcripts. Concerns were expressed from specific areas. Dr. Van Den Handel and Dr. Fly mentioned transcript encrypting systems that allow for electronic transmittal of transcripts. Dr. Boren will monitor and keep the group updated.

National Honor Roll Civic Engagement

Dr. Laura Boren reported that NSU has been selected for as a second year cohort. Student Affairs is currently working to audit and count activities to monitor growth and track service. The goal is to have a student service transcript. Student Affairs will be rolling out a Food Pantry in the near future. There will be one located on the Tahlequah and BA campuses. Information will be made available as it is finalized.

Title IX and FERPA

Dr. Laura Boren reported the Policy Committee is currently reviewing updates and information on the Title IX policy. Updates will be brought for final Cabinet approval when completed. Also, the release form for FERPA has been moved from paper to an electronic version. This can be obtained online by logging on to goNSU.

Event Center Ribbon Cutting

A ribbon cutting event is being planned for November 16th. More information on this event will be made available as plans are finalized.

Strategic Plan Committee

Cabinet is finalizing the committee list. More information will be made available when the committee selection process has been finalized.

D23

President Turner updated the group on recent discussions with Governor Fallin at BA on D23 efforts. Governor Fallin as well as the RUSO Regents complimented NSU on efforts of this plan.

Announcements

President Turner announced that the OCAST Event recently held on the BA campus was a huge success. There were 250+ in attendance and NSU was recognized for hosting the event.

Dr. Cheryl Van Den Handel announced that Faculty Council will hold its next meeting on September 6. She also stated that the updated Faculty Handbook has been distributed.

Mr. Jon Asbill announced that Staff Council will hold its next meeting on August 27. This years focus will focus on serving staff and to build exposure by being a voice at the table for staff.

Mr. Thomas Teague announced that Student Senate will meet on August 28. He reminded members of the 9-11 Day of Service coming up.

President updated the group on current legislative events. There are two current interim studies in process in the state. There will also be a special session regarding Workers Comp.
